Robert Half Office Manager in San Francisco, California

Description

We are seeking an Office Manager to join our team in the Architecture industry based in San Francisco, California. This role is central to the smooth running of the office and involves a range of administrative support duties. You will be responsible for coordinating activities within the office, maintaining office standards, and assisting with project support. This role offers a contract to hire employment opportunity.

Responsibilities:

• Deliver administrative support to all levels of staff in the office, including the coordination of team/project/client meetings and communications.

• Serve as a liaison with building management for maintenance requests and general office upkeep.

• Oversee visitor management during office hours, manage guest sign-ins, incoming calls, and ensure Office Safety Guidelines are adhered to and prominently displayed at the front desk.

• Coordinate shipping/deliveries, distribute incoming mail/packages, and manage the Managed Print Service program.

• Assist with the procurement of approved office materials and supplies as required.

• Support new hire onboarding, and coordinate with IT for all required new hire equipment.

• Maintain office safety and compliance programs, including the upkeep of office standards and safety equipment.

• Assist with project support, including document control, data management, and project-specific reports.

• Support the preparation of financial reports for office leaders, track data, and assist with travel/expense report support.

• Serve as a point of contact for coordination of IT issues within the office, including new computer setup, server issues, and responding to Service Desk emails.

Skills required include Administrative Office and Basic Office Skills.

Requirements

• Applicants should have proven experience in the role of Office Manager, preferably within the architecture industry.

• Proficiency in using administrative office tools and software is required.

• Candidates should possess basic office skills such as filing, scheduling, and answering phones.

• Excellent communication and interpersonal skills are essential for this role.

• Candidates must be able to multitask and prioritize their work in a fast-paced environment.

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, is necessary.

• Strong organizational and planning skills are required.

• The ability to handle sensitive information confidentially is essential for this role.

• Applicants should have a problem-solving attitude and be able to make sound decisions quickly.

• The capacity to work independently and in a team is vital for this position.

• An understanding of office management procedures and departmental and legal policies is required.

• Candidates should have a high school diploma; additional qualifications in Office Administration are a plus.
