This position provides HR support and works closely with the Senior Human Resources Business Partner, HR Operations Lead, and the Sr HR Immigration Consultant to provide support in the areas of documentation processing, payroll, data analytics and entry, recruiting and talent acquisition. This role will provide transactional support to Medical School Administration, Dean's Office Academic and Research Units, and Medical School Institutes and Centers (MSIC). This position will report directly to the Senior Human Resources Manager. This position is able to support remote or hybrid work. JOB RESPONSIBILITIES HR Immigration & Visa Support (50%) Assist the Immigration Support Team's visa processing workflow under the Sr. HR Immigration Consultant and Dean's Office HR Manager's direction. Identify and implement improvement initiatives in existing processes. Compile and distribute metrics data. Obtain necessary signatures and conduct detailed reviews of immigration documents for accuracy. Regularly communicate with visa holders, managers, and departments regarding case status through meetings and written correspondence. Track critical deadlines and identify risks and issues proactively. Draft immigration-related travel and support letters. Maintain detailed records of current and past caseloads. Apply policies and procedures to ensure adherence to visa laws and regulations. Ensure compliance with University immigration procedures and state/federal regulations Process, troubleshoot, and communicate I-9 verifications for foreign nationals in paid positions, including re-verifications due to extensions or status changes. Payroll & HRMS Coordination (20%) Enter, review, and audit time, attendance, and payroll entries for accuracy. Explain and troubleshoot payroll and appointment procedures for staff and supervisors. Ensure accurate time reporting and verification, and maintain internal controls. Assist with conducting routine audits of HRMS data to maintain data integrity and compliance with policies. Provide support as a Position Manager for the center, audits appointments for entry accuracy and identifies primary, secondary, and affiliate/adjunct appointments Provide support as technical support for both HR system users and end users Maintain job data integrity in HRMS through routine audits and analysis. Human Resource Functional Support (30%) Assist with the day-to-day talent acquisition function for the Dean's Office units including, but not limited to: Creating Job Acquisitions Post external advertisements for job openings Support HRMS recruitment entry: dispositions, communications with applicants, refreshing positions, preparing candidates for hire Process background checks for potential employees Troubleshoot recruiting issues as they arise Draft offer letters based on input from hiring managers and HR Partners Routing hiring documents for entry Assist HR partners to ensure all proper documentation and hiring approvals are in place through efficient and effective workflow management Providing HR support throughout the search process Performance management: assist with annual performance appraisal process and probationary appraisal process for employees, provide oversight for supervisors and managers as they complete the performance appraisal process Support setting upt probationary and annual performance reviews are completed for civil service, labor-represented and P&A staff. Initiate annual performance revi w process for P&A, Civil Service and labor-represented staff. Assist with compilation, analysis and reporting of HR data and analytics Gathering data, reporting analysis, and assisting in creating/implementing process improvement Deliver correspondence, which may include confidential/sensitive communications, training materials, defined HR cyclical processes, etc. Other duties as assigned Qualifications All required qualifications must be documented on application materials REQUIRED QUALIFICATIONS BA/BS degree, or a combination of education and/or experience to equal at least four years. Proficient in Microsoft Office and Google Suite programs. Experience handling confidential and time-sensitive materials. Experience interacting effectively and establishing cooperative working relationships with all levels in an organization. Must be a team player and able to work collaboratively with and through others. Track record of dedication to providing excellent customer service. Excellent oral and written communication skills. Experience prioritizing and multi-tasking in a fast paced environment. Demonstrated ability/adaptability to learn new technologies/programs and train others on use of technology. PREFERRED QUALIFICATIONS Experience with University HR policies and procedures. Experience processing and auditing payroll. Human Resources experience in a clinical and/or research environment. Experience working in an academic environment with multiple employee groups to include union and non-union staff, faculty, professional and administrative, undergrad and graduate students. Experience with PeopleSoft Experience with staffing and recruitment. Understanding of ADA, FLSA, FMLA, EEO and other general employment laws and any associated documentation and record-keeping.
